SSS is seeking a candidate who will support the Accounting Manager in monthly billings and semi-monthly payroll processes.

Responsibilities

  • Responsible for preparing supporting schedules and documentation for monthly invoices, including:
  • Running reports in accounting software system that either provides values for entering onto the support schedules or identifies items needing support documentation.
  • Reviewing support documentation to ensure that all costs billed are accurate and match with SSS’ financial records shown on the PSR.
  • Responsible for tracking all costs billed by invoice and ensuring billed costs match with SSS’ financial records shown on the PSRs.
  • Responsible for data entering of cost adjustments (labor and ODCs) into accounting software system.
  • Responsible for scanning/filing all the final invoices and supporting documents.
  • Responsible for preparing final invoice for submission, including:
    • Creating pdfs of final invoices with supporting schedules and documentation
    • Assembling mailing packet for those invoices submitted via post or courier
  • Responsible for filing SSS’s reference copies of the monthly invoices
  • Responsible for Daily Cash Deposits, Maintaining the monthly Accounts Receivable Aging Report and Collections
  • Assist Accounting Manager in keeping the invoice status log for monthly billings up to date
  • Responsible for daily review of timesheets, including:
    • Running of missing timesheets and new hire reports.
    • Data entry of missed floor check report onto pay period tracking sheet tracking sheet
    • Maintaining electronic copies of the various reports
  • Responsible for data entry of salary and labor distribution information into SSS’s various software programs for review
  • Responsible for data entry onto payroll reconciliation spreadsheets, including those for:
    • Reconciling quarterly 941 filings to gross wages
    • Reconciling the monthly Labor Distribution Report to accrued payroll account
  • Responsible for preparing and entering, into accounting software system, journal entries recording payroll.
  • Responsible for maintaining log of payroll-related correspondences received.
  • Responsible for scanning and filing supporting documents for each payroll run
  • Assumes additional responsibilities as required.

Qualifications

  • Bachelor’s degree in accounting.
  • 1+ years of experience in preparing: 1) Job cost billing for government contracts; 2) Payroll processing for semi-monthly payroll using T&E, Costpoint, and Paychex software; and 3) Monthly payroll account reconciliations including 941s, all federal and state tax accounts.
  • Knowledge and experience with all Federal government contract types, GAAP Accounting, and Federal Acquisition Regulations.
  • Experience using Deltek Costpoint, T&E, COGNOS, Paychex System
  • Intermediate level in Excel and Adobe PDF.
  • Must be detail-oriented, reliable, highly productive, organized, and a team player.
